The Situation

A Cape Town architecture firm needed a reliable way to schedule on-site photo documentation across their active projects. Their previous process relied on email threads and personal reminders, which led to double-booked days and last-minute rescheduling whenever a site handover slipped.

The core constraint was simple: shoot days had to align with construction milestones, and those dates shifted often. We needed a booking system that could absorb changes without turning every adjustment into a phone call.

What We Built

We set up a seasonal booking workflow with three fixed windows per quarter. Each window opens two weeks before the season starts, and clients submit their preferred dates along with a short brief of what needs to be captured. We review submissions in batches rather than first-come-first-served, which gives us room to group shoots in the same area and keep travel time down.

The tradeoff is that clients don't get instant confirmation. They wait up to five working days for a response. In exchange, they get a schedule that actually holds, because we only commit to dates we can staff and reach without rushing.

How It Works in Practice

  • Clients submit a booking form with preferred dates, project stage, and a short list of priority shots.
  • We batch requests and confirm within five working days, grouping nearby sites into single trips.
  • If a date shifts, clients get one free reschedule per season, as long as they notify us a week in advance.
  • We send a confirmation pack with a shot list template, weather contingency plan, and site access checklist.
